Woodburn Art Center Rental and Use Agreement Policies
Monthly or Long-Term Rental Fees Due:
Groups utilizing the Woodburn Art Center on a regular, long-term basis will be required to pay a one-time reservation fee and cleaning deposit at the state of the rental agreement term. The rental fees will be paid in advance and are due the last day of the month for the following month.
Rental Agreement and Waiver:
A Rental Agreement/Waiver must be signed by the responsible renters relieving the Woodburn Art Center of any responsibility for accidents, damage, theft or loss and the Woodburn Art Center shall reserve the right to revoke or deny any permit of the Woodburn Art Center use. The Rental Agreement/Waiver must be kept on the premises at all times while using the facility.
Use of Facilities:
Guests will be permitted to use only the studio addition of the Woodburn Art Center. The kitchen may be used if permission is provided and only by the host. Guests are asked to respect all artwork in the Studio’s Legacy Art Collection and Glatt House Gallery. Any damage or loss of artwork during the rental period will be charged to the renter.
Use of Equipment and Furniture
Use of the facility furniture, equipment, and kitchen appliances shall be requested at the time of application. If the kitchen is used without permission, a portion of the damage deposit may be retained. The applicant is responsible for furniture arrangement including both set-up and take-down. If it is necessary for the Art Center staff to return the furniture to its designated place, the applicant will be charged a $20 per hour fee that will be deducted from the damage deposit.
Rental Hours:
This facility may be scheduled for use by different groups during the course of one day. It is necessary for the facility to be cleaned and vacated by the end of the rental period each day as listed on the application. If the applicant is scheduled for long term use (i.e. a 3-day workshop) and finds it necessary to store items at the facility, they must make a request in writing at the time of application. The center assumes no responsibility for loss or damage to items stored on premises.
Safety/Occupancy:
Occupancy is limited to a maximum of 74 people in the Woodburn Art Center Studio. All exit doors must be unlocked during occupancy and MAY NOT be blocked in any manner. A clear four-foot-wide pathway to the exit doors must be maintained at all times according to fire regulations. The throwing of rice, birdseed or confetti is not permitted. Candles and other open flames are not permitted. Battery operated candles are suggested.
Misconduct:
Any misconduct or illegal activities, such as serving alcohol to minors, shall not be permitted and will be grounds for immediate revocation of facility use.
Alcohol Use:
Alcohol is permitted with moderation. Applicant will adhere to all city/state permits and proof of any insurance required for said event. Please stop serving Alcohol in the last hour of your rental. Your safety on the road home is in everyone’s interest.
No Smoking, Vaping
NO SMOKING or vaping is allowed in the Art Center as per Oregon Law. If smoking occurs in the Center, the damage deposit will be forfeited, and responsible parties will be barred from the use of the Center. Health and Artwork are sensitive to smoke!
Pets:
Only trained guide dogs will be allowed in the facility.
Noise:
All noise and music must be kept at levels that do not disturb others in our neighborhood. Noise shall be contained within the building, and the doors will remain closed when music is playing. Live music at the Art Center will be considered on a case-by-case basis.
Classes:
All toxic and hazardous waste materials will be place in a covered container and removed from the premises by the applicant. Artwork and/or supplies left at the Center over 30 days after the class has concluded will be considered abandoned, become the property of the Art Center and may be disposed of at its discretion. Instructors of classes will be responsible for providing supplies for their students. Instructors are responsible for leaving the classroom clean at the end of each class.
Juvenile Parties:
A person over 21 years of age must make all arrangements and sign the rental agreement for juvenile parties. No juveniles will be allowed in the building unless accompanied by a person over 21 years of age. Two adult chaperones must be in attendance at all times if minors are present. Children must be supervised at all times inside the facility and on the grounds of the Art Center.
Decorations:
Nothing is to be affixed to the walls or any part of the building with tacks, tape, nails, etc. Decoration may be tied with string around posts and fixtures.
